1.       Copy machine tricks and tips

TO SAVE A DOCUMENT IN YOUR OWN PERSONAL FILE FOLDER

·         Put your document in top feeder tray (facing up) that needs to be copied

·         Hit the DOCUMENT FILING button on machine

·         Highlight the SCAN TO HDD button on LCD readout

·         Highlight the FILE INFORMATION button on LCD readout

·         Highlight the FILE NAME button on LCD readout

·         Hit the BACK ARROW key to delete the file name given

·         Type in new file name (that you want to name it)

·         Hit OK button on LCD readout

·         Hit STORED TO on LCD readout

·         Select your folder name by highlighting (where you want document stored to)

·         Hit OK on LCD readout

·         Hit OK again on LCD readout

·         You are now ready to SCAN this document so it saves in your folder- hit copy button (BIG BLUE ROUND BUTTON ON COPY MACHINE)

Your document is now saved – to exit out of this mode on copy machine, simply HIT copy button on machine itself

TO RETRIEVE AND PRINT A FILE SAVED IN YOUR PERSONAL FOLDER:

·         Hit the DOCUMENT FILING button on machine

·         Highlight FILE FOLDER on LCD readout

·         Find your PERSONAL FILE FOLDER NAME – highlight this

·         Highlight document name you wish to print

·         Select how many copies you want to make on LCD readout

·         Choose (by highlighting) PRINT AND SAVE (or if you no longer want document saved, highlight PRINT AND DELETE

TO DELETE A FILE FROM SAVED IN YOUR PERSONAL FOLDER

  • Hit the DOCUMENT FILING button on machine

  • Highlight FILE FOLDER on LCD readout

  • Find your PERSONAL FILE FOLDER NAME – highlight this

  • Highlight document name you wish to DELETE
    Click on DELETE and confirm – it’s now gone

TO SAVE COPIES FROM YOUR DESKTOP COMPUTER ONTO COPY MACHINE AND THEN PRINT AT YOUR CONVIENENCE:

  • Open up MSWORD document you wish to either print or save
  • Go to FILE | PRINT | CHOOSE THE PRINTER – MSOFFICE-COPIER

At this point you can just click on the number of copies you want and click on OK and it will print that document immediately to the copy machine in the office.  OR – you can get fancier (which you will want too) and save the document into your personal folder on copy machine and then print at your convenience.  You can also choose front to back, etc, if you decide to get fancier – SO – LET’S ASSUME YOU WANT TO JUST SAVE THE DOCUMENT INTO YOUR PERSONAL FOLDER ON COPIER AND THEN PRINT IT LATER ON IN THE DAY

  • CLICK on the PROPERTIES button
  • On the MAIN TAB screen here you can choose 1-sided, 2-sided, etc. – if you want – or leave alone
  • Click on the JOB HANDLING TAB
  • Place a check mark in the RETENTION box
  • Place a dot (check mark) in the HOLD ONLY BOX – This will allow you to save the document into your personal folder. 
  • Under DOCUMENT FILING SETTINGS – CHOOSE CUSTOM FOLDER
  • Click on STORED TO button and wait a few seconds
  • Highlight YOUR NAME and then click on OK
  • Click on OK again
  • Click on OK once more – the document will NOW SAVE TO THE COPY MACHINE FOR YOU TO MAKE COPIES FROM LATER.

At this point you would go to the “TO RETRIEVE AND PRINT A FILE SAVED IN YOUR PERSONAL FOLDER:” instructions on other side and follow those to print your document.  The document is saved on copy machine UNTIL YOU DELETE it.
